Frequently asked questions
Prices, process, tools and how your data is handled. If your question is missing, write to me.
What does the AI setup day for sales include, and what does it cost?
One day on site with up to 8 people from sales and account management, in larger organisations one team first. We build the knowledge base on your customers and the tone you write in, and agree what needs approval. By the evening everyone has taken a case of their own through to a ready-to-send email. Fixed price €2,500 net, invoiced on booking.
What does “First process live” cost, and what is included?
From €6,500 net, I quote the fixed price for your workflow before we start. Three to four weeks of work, after which one workflow runs on AI for good, such as the quote draft for every enquiry or the early-warning radar. It follows the setup day. Start within 60 days of the setup day and it counts toward the price.
How long until the first workflow is running?
The assistant writes drafts on the evening of the setup day, using your real cases. A workflow that runs permanently and on a schedule is in place three to four weeks later.
Which companies and team sizes is this for?
Companies that live from personal account management: consultancies, agencies, B2B distributors, machine builders with field sales. The setup day is designed for up to 8 people. In larger organisations we start with one team.
Do we need technical knowledge?
No. No new system is added, the assistant runs in the AI tool you already have. Anyone on your team who has already built their own AI tools will be quicker on the day. It is not needed.
Which tools are used?
Copilot, ChatGPT or Claude, ideally the one you already pay for. There is no licence from me, ongoing costs stay with your existing AI licences. I take no commissions from tool vendors.
What data does the knowledge base need?
For the day, the participants' emails, templates and quotes plus an export from CRM or ERP are enough. A customer table works too. From that we build plain text files on customers, projects, decisions and the language your team writes in.
What happens to our customer data?
The DPA and NDA are signed before we work with real data. Names can be replaced with placeholders beforehand using Deckname. The tool runs in your browser, no server sees the original text. The source code is on GitHub (github.com/alexanderschmitt-berlin/deckname), so your IT team or data protection officer can check for themselves that no text or file leaves the browser. Only the version with placeholders then goes into Copilot, ChatGPT or Claude.
What if the AI writes a wrong draft?
Then it gets corrected before the customer sees it. Whoever had the meeting reads it and sends it themselves. The assistant never sends on its own. Line items and prices in a quote still come from your ERP or your calculation.
How is this different from an AI tool or an agency?
You keep your tool, I don't bring one of my own. The assistant knows your customers because we build the knowledge base together on the day. And the person at the table has sold B2B himself and works with the same setup every day.
Can we run and extend the system ourselves?
Yes. What we build belongs to you. The knowledge base consists of Markdown files you can open and edit in any editor. After the setup day your team carries on with it alone. If a workflow should run permanently, that is the “First process live” step.
Can IT and the works council have a say?
Yes, ideally from the first call.
Where does the setup day take place?
On site at your company. I am based in Berlin, the first call is on video. Outside Berlin, travel costs are added.
Who is Alexander Schmitt?
As Sales Director Asia at a machine builder I built up the China business. Then I co-founded FYTA and built it up as CTO for five years, from zero onto retail shelves. Today I am fractional CTO at Leondrino in Berlin. Master's in computer science in Shanghai with a thesis on deep learning.
How do we start?
With a call, 30 minutes on video, free and directly with me. Afterwards you know whether a setup day makes sense for you. If you would rather test first, describe your situation by email. My assistant drafts the answer, I rework it, usually the same day.
